Enrollment Coordinator

Position Summary

The Enrollment Coordinator is the welcoming voice and guiding hand behind every new journey at BE Dance Studios. As the first point of contact for prospective students and families, the Enrollment Coordinator plays a vital role in creating a strong first impression, building meaningful connections, and supporting enrollment from initial inquiry through onboarding.

Reporting to the Artistic Director, the Enrollment Coordinator uses a blend of relationship-building, communication, and tech-savvy organizational skills to guide prospective clients through the studio’s offerings, align them with the right classes, and ensure a smooth, joyful transition into the BE Dance Studios community.

This is an on-site, part-time position requiring availability during key studio hours and special events.

Key Responsibilities

Lead Management & Conversion

  • Promptly capture and follow up with leads from all sources (web, text, phone, social, referrals).

  • Guide prospective students and families through program options, benefits, and next steps.

  • Schedule and confirm trial classes, maintaining a high-touch, personable communication flow.

  • Track lead-to-client conversion rates and follow-up timelines.

  • Regularly update and maintain lead data in CRM and dance studio software.

Enrollment & Onboarding

  • Convert trial students into enrolled students through strategic follow-up and consultation.

  • Ensure each family feels seen, welcomed, and informed throughout their first 90 days.

  • Collaborate with the Artistic Director to optimize onboarding workflows and resources.

  • Maintain an active understanding of all current program offerings, instructors, and schedules.

Customer Experience & Studio Culture

  • Represent the BE Dance brand with warmth, clarity, and professionalism across all communication.

  • Cultivate a relationship-based approach that emphasizes transformation and belonging.

  • Maintain a clean and welcoming studio space during on-site shifts.

  • Identify and communicate needs, patterns, and questions from new families to leadership.

Systems & Communication

  • Use and maintain accurate data across tools including Jackrabbit, Asana, Go High Level, and email.

  • Send and respond to emails, phone calls, and text messages with prompt, clear, and professional communication.

  • Coordinate with the front desk staff, teaching team, and Artistic Director to ensure seamless client handoffs.

  • Support quarterly reviews of enrollment systems and processes for improvement.

  • Participate in team meetings, seasonal planning, and community engagement efforts.

Key Priorities

  • Meet and exceed seasonal and annual enrollment goals.

  • Maintain a lead response time of under 24 hours.

  • Maintain a consistent conversion rate from trial to enrollment (goal set with AD).

  • Support new families through their first 90 days with weekly touchpoints as needed.

  • Collaborate with the Artistic Director to streamline enrollment and onboarding systems.

Qualifications

  • Background in dance, performing arts, or arts education preferred

  • Prior experience in customer service, outreach, or sales roles

  • Proficiency in email, phone, and text-based communication

  • Familiarity with Jackrabbit, Asana, Go High Level, or similar tools preferred

  • Strong verbal and written communication skills are required

  • Excellent organizational skills with attention to detail

  • A warm, positive, and people-centered personality

Schedule & Compensation

  • Part-Time On-Site Position:

    • 20–35 hours per week

    • Must be available Tuesday, Wednesday, and Thursday from 11:00 AM–6:30 PM

    • Must be available Saturday from 9:00 AM–2:00 PM

    • Additional hours required for July 12 Michaela DePrince Day and other special events throughout the season

  • Compensation: $15.50/hour with opportunity for growth
